Terms and Conditions.

Thank you for considering me to capture your wedding or event. My Terms & Conditions are designed to be clear, transparent and simple — no hidden extras, and no confusing legal jargon.
These Terms form the full agreement between Will Thommes (“Photographer”) and the Client, and apply to all photography services I offer. Any changes must be made in writing and agreed by both parties.

1. Booking Fee & Payments

A non-refundable booking fee of 20% is required to secure your date.
Once this fee is paid and the contract accepted, I reserve the date exclusively for you and will not take any other bookings.

The remaining balance is due 2 weeks before an event (unless otherwise agreed in writing).
No images, galleries or products will be delivered until full payment is received.

Bank transfer is my preferred method of payment, and full details will be included on your invoice.

2. Cancellation or Postponement

Cancellation by the Client

If you choose to cancel your booking:

  • The booking fee is always non-refundable.

  • If cancellation occurs 2 weeks or less before the wedding/event, the full balance may still be payable due to loss of the date.

Postponements

If you need to move your date:

  • I will always try my best to accommodate your new date.

  • If I’m available, all fees will transfer with no penalty.

  • If I’m unavailable, the booking fee remains non-refundable.

3. Services Provided

The Photographer will provide the services detailed in your contract, including coverage of agreed parts of the day and delivery of edited digital images.

Preview images are usually delivered within a few days, and full galleries within 4 weeks, depending on the type of shoot.

There is no fixed limit on the number of images delivered. All usable and high-quality images that reflect your day will be included.

4. Image Delivery

Images are delivered via a private, online gallery where you may view, download and share your photographs.

You are encouraged to download and back up your images.

5. Image Rights & Copyright

The Photographer retains full copyright to all images.
The Client receives a personal licence to:

  • Print images

  • Share images with family & friends

  • Post on social media (with no filters or heavy editing, please)

Commercial use, resale or editing/retouching by third parties is not permitted.

If wedding suppliers or venues request images, please direct them to me — I’m always happy to collaborate.

6. Promotional Use of Images

On signing a contract with me, the Photographer retains the copyright to all images. The Client is granted a personal licence to print and share the images for their own use.

As part of standard industry practice, the Photographer may use selected images for:

  • Website

  • Social media

  • Portfolio

  • Printed materials

  • Photography blogs or magazine features

I will always be respectful and thoughtful about the images I choose to share. If you have any concerns or would prefer certain images not to be used for promotional purposes, please feel free to discuss this with me. I’m always happy to be led by the client, and your wishes will be fully respected without any impact on your service.

7. Creative Style & Working Approach

By booking me, the Client acknowledges and accepts my documentary, natural, candid style.

I use my artistic judgement to choose poses, locations and the number of images taken.
While I will always do my best to accommodate requests, no specific image is ever guaranteed — weddings and events are dynamic, live environments.

8. Limitations

In certain venues (especially churches), photography restrictions may apply.
The Photographer must follow the rules of the venue and cannot be held responsible for missing images due to limitations set by officiants.

Weather, lighting, delays, guest cooperation and venue restrictions may affect what can be captured.

9. Retouching

All delivered images receive professional editing including colour correction, contrast, cropping and artistic styling.

Extensive retouching (e.g., body modification, object removal) is not included unless agreed as an additional service.

10. Meals & Breaks (Weddings Only)

For full-day wedding coverage, the Client agrees to provide the Photographer with a meal during the wedding breakfast or at a similar break point.

11. Travel & Accommodation

Travel within a reasonable radius of my location is included.
Longer distances or overnight stays may incur additional travel or accommodation costs, which will always be discussed upfront.

12. Photographer Illness or Emergency

If I am unable to attend due to illness or emergency:

  • I will make every effort to arrange a trusted replacement photographer.

  • If no replacement can be found, all payments received will be refunded in full.
    This refund is the full extent of my liability.

13. Client Responsibilities

The Client agrees to:

  • Provide accurate event details

  • Communicate any schedule changes

  • Assign a point of contact for group photos

  • Ensure guests are aware that photography will take place

The Photographer cannot be held responsible for missing key moments if the schedule is not followed or communication is unclear.

14. Personal Information

Your personal details are used solely to communicate about your booking.
They are never sold, shared or used for marketing without consent.

You may request removal of your data at any time.

15. Acceptance of Terms

By booking Will Thommes Photography and paying the booking fee, the Client agrees to all terms listed above.
